Dictation is the fastest way to get words onto the page. But speech recognition is never perfect. You speak in one long run without punctuation, homophones slip in (“there” for “they’re”), filler words like “um” get typed out, and capitalisation is hit or miss. Until now, cleaning that up meant going back over the text by hand.
AI Transforms fix that. Dictate as usual, select the text, and press a keyboard shortcut. Voice In rewrites the text in place, right in the field you’re typing in: Gmail, Google Docs, Slack, ChatGPT, or anywhere else. If you don’t like the result, press Ctrl+Z (or ⌘+Z) to get your original back.
Polish: clean up what you dictated
The first Transform is Polish. It fixes speech-recognition errors, grammar, punctuation, and capitalisation, and tightens the text up a little, while keeping your voice and meaning.
Here’s a quick note dictated straight into Gmail:
Before
hey sarah so i wanted to follow up on the meeting yesterday um i think we should move the launch to next friday because there going to need more time to test the new check out flow and honestly i’m not sure the design is final yet let me know what you think and if their is anything i can do to help
After Polish
Hey Sarah, I wanted to follow up on yesterday’s meeting. I think we should move the launch to next Friday because they’re going to need more time to test the new checkout flow, and honestly, I’m not sure the design is final yet. Let me know what you think and if there’s anything I can do to help.
Look at what changed: sentences and commas, “there” corrected to “they’re” and “their” to “there”, “Friday” and “Sarah” capitalised, the “um” gone, and “check out” fixed to “checkout”. That’s every fix you would otherwise make by hand, done in about a second.
Custom Polish: Polish, your way
Polish works well for most people. But many of you told us you wanted almost Polish, with one or two things done differently. One user writes in ALL CAPS for emphasis and wanted those words left alone. Another dictates medical notes and wanted abbreviations written a particular way.
So the second Transform is now Custom Polish: Polish plus a list of your own rules. It ships with two rules: keep any word you said in ALL CAPS exactly as written, and keep your own wording instead of rephrasing it.
Here’s the difference on the same sentence:
Before
You should be putting that information on the Trello card then copying it and pasting it into WhatsApp NOT the OTHER WAY AROUND
After Polish
Put that information on the Trello card first, then copy it and paste it into WhatsApp, not the other way around.
After Custom Polish
You should be putting that information on the Trello card, then copying it and pasting it into WhatsApp, NOT the OTHER WAY AROUND.
Polish lowercased the emphasis and reworded the sentence. Custom Polish added the punctuation and left everything else as you said it.
Make it yours
Open Voice In Settings, go to AI Transforms, and click Edit on the Custom Polish card. The instructions are plain English: add a line to the rules at the end, and Custom Polish follows it. For example:
- Write abbreviations like “b i d” as “BID”, in capitals with no spaces.
- Use British spelling.
- Never change product names.
If you’d rather not start from scratch, pick one of the presets:
- Medical dictation: standard medical abbreviations, with drug names and doses kept exactly as dictated.
- Punctuation only: adds punctuation and fixes recognition errors without changing a single word.
- Professional email: turns a rough dictation into a clear, friendly email.
- Meeting notes: a summary, key points, and action items.
- Prompt Engineer: turns a rough spoken request into a well-structured prompt for ChatGPT or Claude.
You can also rename the Transform, and Reset brings back the default rules at any time.
Try it out
AI Transforms are part of Voice In Plus. To get started:
- Open Voice In Settings and scroll to AI Transforms.
- Set a keyboard shortcut for each Transform (click Change Keyboard Shortcuts).
- Dictate something, select it (
Ctrl+Aselects the whole field), and press the shortcut.
There’s a Try it out box with sample text in Settings, so you can see Polish work before using it on your own writing. Give Custom Polish a rule or two, and let us know what you use it for: the best ideas so far have come from you.
